A National Hotel Group: A Corporate Office Built From Scratch
Network, cabling, security and meeting room technology delivered for a head office move.
Background
A national hotel group moved its corporate office out of ageing premises and into a new building. Head office is where the group runs: finance, operations, revenue, HR and the people supporting every property in the portfolio.
An office move has a hard deadline. Staff arrive on a Monday morning expecting to sit down and work. Everything behind that has to be finished, tested and working before the first person walks through the door.
Delivered: 2025.
The Challenge
The new building was an empty shell as far as technology was concerned, and the old office had grown organically over years. The brief covered everything:
- A network from nothing. No cabling, no switching, no wireless, no perimeter.
- 100 desk positions to be ready and tested, not just cabled.
- Meeting rooms that actually work. The old office had the familiar problem of rooms nobody trusted, where every call started with ten minutes of fiddling.
- Executive spaces with their own video conferencing, not a laptop and a borrowed webcam.
- Physical security across the new premises from day one.
- One deadline. Everything ready together, because a move does not happen in phases.
What NetraClouds Delivered
We took the whole scope, so the group dealt with one team rather than coordinating a cabling contractor, a network vendor, an AV integrator and a security installer against the same date.
- End to end Fortinet network. Firewall and routing, switching and wireless access points, deployed as one platform with a single place to manage and monitor it.
- Structured UTP cabling throughout. Every run installed, terminated, tested and labelled, with the documentation handed over rather than left in someone’s head.
- 100 desk positions prepared. Data and power presented at each desk, tested and ready for staff to plug in on arrival.
- Cameras across the office. Coverage of entrances, common areas and sensitive zones, configured and recording before occupancy.
- Four large meeting rooms on Lenovo ThinkSmart. Each room built to the same standard, so a room behaves identically wherever you book it.
- Logitech Tap Scheduler panels outside every room. Availability visible at the door, and rooms bookable on the spot, which removes most of the arguments about who has the room.
- Executive meeting spaces. A Logitech Rally Bar Mini with a dedicated Tap IP controller in each executive’s own meeting space, so a call starts with one touch.
Why One Supplier Mattered Here
On a move, the risk is rarely any single system. It is the joins between them, and the finger pointing when a deadline slips.
- The cabling and the network were designed together. Access point placement, switch capacity and cable routes were decided as one problem rather than negotiated between trades.
- The meeting rooms sat on a network built for them. Video conferencing is unforgiving of a network that was specified without it in mind.
- One schedule, one point of accountability. When everything has to be ready on the same morning, having one team responsible for that morning matters more than any individual product choice.
- One standard across the building. Rooms, desks and cabling all built the same way, which makes supporting the office afterwards straightforward.
The Outcome
The group moved into a corporate office that was finished rather than nearly finished:
- Staff sat down at 100 prepared desks and started working.
- A single Fortinet platform covering routing, switching, wireless and the perimeter.
- Cabling that is tested, labelled and documented, so future changes are quick.
- Four meeting rooms that work the same way every time, with availability shown at the door.
- Executive spaces where a video call starts with one touch.
- Cameras live from day one rather than added after occupancy.
If you have an office move coming and you are currently lining up separate suppliers for cabling, network, security and meeting rooms, it is worth talking to us about handling it as one piece of work against one date.
